Westlake University is a new type of non-profit research university supported by public and private funding. It is a vanguard in higher education reform in China and was established with the approval of the Ministry of Education of China. Founded by prominent scientists and scholars, the University is committed to attracting world-leading faculty, developing state-of-the-art disciplines, cultivating world-class talent, and making fundamental discoveries. The university implements an organizational system led by the University President under the guidance of a Board of Trustees. Academic and research functions are carried out by our three schools: School of Life Sciences, School of Science, and School of Engineering.

Serving Westlake University since 2018, the Office of International Affairs is dedicated to building and developing international partnerships in education, research, administrative collaboration, and student exchange. The office oversees international undergraduate admissions, recruiting international undergraduate students, and developing university partnerships with international high schools at home and abroad. OIA organizes small- and large-scale events with international participants to further the research and educational aims of the university. OIA also serves as the primary liaison with government agencies to handle approval processes related to international affairs.

Our office staff assists our international community with immigration formalities and aims to deepen the cultural and social integration of international students and staff into the Westlake community. We are dedicated to promoting internal internationalization and maintaining Westlake University's reputation as an international institution.

International Conference and Event Coordinator, Office of International Affairs


Job Responsibilities:

1. Manage and coordinate international meetings, conferences, and related events held at Westlake University, including the Westlake Higher Education Forum held every two years.

2. Develop and execute meeting plans, budgeting, interdepartmental coordination, travel, and marketing programs for conferences held at Westlake and other pertinent events.

3. Attend and serve as a representative of Westlake University at domestic and international conferences and meetings; manage and coordinate organization memberships.

4. Organize and assist with campus activities related to international and intercultural programs.

5. Communicate with and host international guests visiting Westlake University.

6. Other tasks as assigned.

Required Qualifications:

1. Three or more years’ experience as a university administrator or relevant professional role.


2. Masters or higher degree.

3. Strong oral and written communication skills in both English and Chinese.

4. Able to travel domestically and internationally.

5. Proficient with standard office software packages including Word and Excel.

6. Detail-oriented, with strong communication, management, and interpersonal skills, a proactive and responsible attitude; ability to work effectively within a team and across departmental boundaries; ability to balance and prioritize concurrent tasks.

7. Possess or acquire a strong familiarity with Westlake University and the university’s mission and goals.

Preferred Qualifications:

1. Experience working or studying at an academic institution abroad.

2. Experience organizing conferences and events with international participants.
